Please read and accept the terms and conditions, including the cancellation terms, before you proceed to the conference registration form.

Terms and Conditions of Registration

1. Access to the Southern African HIV Clinicians Society Conference 2025 will only be confirmed upon receipt of full payment.
2. Payment is due prior to the start of the Conference. No delegates will be permitted entrance to the conference without full payment having been received.
3. All fees must be paid by the relevant stipulated dates. Failure to pay by such date will result in the delegate being liable for the increased registration fees.
4. A proforma invoice with the Conference bank details will be emailed to you. Please make payment upon receipt of this proforma invoice.
5. Payment reference: Proforma Invoice number plus your surname.
6. Upon receipt of payment in the SAHCS bank account you will be issued with the tax invoice for your records.
7. All payments must be made payable to the Southern African HIV Clinicians Society.
8. Delegates attending from countries outside of South Africa are requested to make payment in South African Rands (ZAR) and are responsible for covering the full bank charges. The full delegate registration fee amount invoiced must appear in the Conference bank account. Should this not be the case, the delegate will need to pay the difference in cash on site before being allowed to participate in the event.

Cancellations of Registrations

1. On completion of this registration application you will be liable for the full amount of the registration fees subject to the cancellation conditions below.
2. All cancellations must be received in writing by email to janice@sahivcs.org   
3. If the registered delegate cancels more than 6 months prior to the Southern African HIV Clinicians Society Conference 2025, the delegate will be liable for 30 % of the invoice value.
4. If the registered delegate cancels less than 6 months prior to the Southern African HIV Clinicians Society Conference 2025, the delegate will be liable for the full invoice amount – payable with immediate effect.
